VGClubs is everything a club has to keep track of, in one place: a real website, the money, the meeting record, and the people who run it. Most clubs end up with a scattered version of this anyway, half in a group chat and half in somebody's personal drive, and it disappears the year that person graduates.
It starts with the advisor. A staff advisor takes the club on and gets a console, and from there they seat the team: a webmaster, a treasurer, a secretary, or a custom role with exactly the access you want, up to three people per role. Everyone seated signs in with their school email and lands in their own console with their own job already in it.
Then each person does their part. The webmaster runs the site from a dashboard: events, news, posts, photos, the officer board, published at yourclub.vgspartans.org. The treasurer keeps the books: money in, money out, a budget by category, reimbursements approved on the record, and a balance that always adds up. The secretary keeps the record: schedule the meeting, take attendance, write the minutes, and file them to the advisor for sign-off, so there's one trusted version every year instead of four half-remembered ones.
The part that matters most shows up in year two. Officers graduate, and the advisor re-seats the roles in a couple of clicks. The site, the books and every meeting record stay exactly where they were, so the club stops starting over every fall. Nothing goes public before it should, either: only seated members can edit, only the parts their role allows, and a club site goes live the moment its advisor hits launch and not before.
